Link provides payroll services as an option to our clients.
Documents
When you sign up for payroll services there are a few documents that must be completed:
Have new employees fill out these documents and email them to payroll@linkpos.com
- For each employee that will be paid by direct deposit have them fill out this form and email it to payroll@linkpos.com: Employee ACH Authorization form
- IRS W4 form
- Employment Eligibility Verification i9 form
Payroll Calculation Services
We will:
- Calculate and prepare payroll for your employees
- Submit pay via ACH direct deposit to applicable employees
- Calculate and submit payments for federal and state payroll tax deposits
- Prepare and file federal and state payroll tax forms as required
- Prepare and file Form W-2 at the state and federal levels
Our responsibility
We will run payroll for your company twice every month. We will set up new employees for payroll on an as needed basis using the information from documents (I9, W4, and Direct Deposit) that you provide.
We will inform you of the amount and due date of your payroll tax payments and filings and assist you in making them. We will also provide copies of all filings upon request.
We will provide online access to your employees to view paystubs, time records, and W2s.
We will provide access to online payroll reporting and time records.
Your responsibility
You will provide us with payroll information on a timely and periodic basis, including hours worked, pay rates, employee status, and benefits information.
You will edit and approve all employee time records by the end of the business day following the end of each pay period.
You will provide copies of employee documents (I9, W4, and Direct Deposit) to us via email (payroll@linkpos.com). You will provide us promptly with updated and corrected information as needed.
You must maintain sufficient funds in your bank account to cover payroll expenses and related tax liabilities. You will be charged an exception (chargeback) fee if there are insufficient funds in your account when payroll or payroll taxes are due.
Payment and Filing Services
You may authorize us to make payments and filings for you. To do so, we require three documents to be completed and returned to us:
- A principal officer or partner of your business must sign the Form 8655 and Electronic Services Authorization form accompanying this letter and return them to us for filing.
- A principal or partner of your business must sign the LinkPOS Software Agreement & ACH Authorization Form.
- If you authorize us to pay your employees electronically, you must ask each of them to sign a Direct Deposit Authorization and return a copy of the forms to us via email (payroll@linkpos.com).
By giving us access to your bank account, you authorize us to make payroll and payroll tax payments and filings on your behalf, and you will be bound by them as though you had made them yourself. Typically, we will send payment transactions through the Automated Clearinghouse (“ACH”) Network. You agree that these payment transactions will be governed by the ACH Rules as in effect from time to time, and that each entry we make on your behalf will be authorized, timely, for an amount due and owing, and will not violate the laws of the United States.
Alternatively, we will provide you the information to print/pay employees via check, if you so choose.
Our Fees
Our monthly fees provide payroll on a semi-monthly basis for fifteen employees. Additional employees above the first fifteen are prorated to the monthly amount.
We will send you an invoice one week prior to the 1st of each month via email. Payment is on the 1st of each month, or on the first business day following the 1st day of the month.
Our fees will be paid by automated ACH payment for the amount shown on your invoice on the 1st of each month (or the next business day thereafter).
Optional Services
We offer Sales & Restaurant Tax report filing and payment processing services at an additional fixed amount per month. We will inform you of tax amounts and due dates and assist you in making them to your state’s Tax Commission.
We offer New Hire Reporting services at an additional fixed amount per month. All newly hired employees are required by law to be reported to your state within 20 days of the date of hire. We will run reports twice month and provide the required employee information to your state’s Dept. of Workforce Services within the required timeframe.
Services not provided
We will not audit or verify the information that you provide to us. If an amount appears unusual, we will call it to your attention. However, we are not responsible for the detection of errors, irregularities, theft, fraud or illegal acts. We do not provide legal services.
Approvals
If you choose to use our payroll services we will send you a letter of approval for you to sign which will contain the agreed upon monthly service fee amounts for the services you choose.
